On-the-day wedding coordination
The last thing you want to be doing on your wedding day is worrying about your suppliers and if the day is running on time. Your wedding coordinator (Lucy!) will be a friendly face on the day of your wedding, making sure everything is running like clockwork and sneaking you that extra canape!
Oak & Opal specialise in on the day wedding management for marquee and country house weddings in the Cotswolds, Worcestershire and surrounding counties. Lucy’s farming background combined with her wedding planning expertise is the perfect combination for coordinating outdoor countryside weddings.
So what does a wedding coordinator do?
Your On-the-Day Wedding Coordinator will manage the overall running of your wedding day. So that’s things like:
- Seeing your suppliers in
- Overseeing suppliers setting up
- Keeping your wedding running on time
- Ushering guests
- Reminding your bridesmaids/ushers to do their jobs
- Answering your guests’ questions
- Following your to-do list
- Solving any problems
- Making sure that your glass is always topped up!
But how will you know what to do?
Between eight to three weeks before your wedding day (it depends how organised you are!) we will have our Handover Meeting. This is where we will discuss your wedding day in fine detail and create your Order of the Day together. We will also talk through all your suppliers and the services they are providing.
After your Handover Meeting:
- Lucy will contact all your suppliers to confirm details and establish Oak & Opal as their wedding day point of contact.
- You will receive a copy of your Order of the Day which we will also share with your suppliers.
- Finally, we will ask you for a ‘to do list’ of tasks your would like completing on your wedding day. Things like ‘lighting candles’, ‘turn on outdoor uplighters’, ‘move ceremony flowers’ etc. You can write as much or as little as you want on your to do list. Even if the job sounds obvious, often it can give you peace of mind that you have written it down and handed over the responsibility.

Our on-the-day coordination packages are all set prices. However if your wedding is further than 1h40 from Worcester then there will be an additional travel cost of £150 for Elder, £200 for Hawthorn and £300 for Oak.
Oak Package
Perfect for marquee or tipi weddings in gardens or private land.
In person handover meeting, either on-site or a coffee shop.
3 hours coordination the-day-before your wedding. This will include a site tour, now that your structure is in situ, to address any last minute practicalities. We will then oversee your suppliers who will be setting up the day before and be on hand to assist with questions and logistics.
10 hours on-the-day coordination.
